Microsoft Outlook

An AI receptionist that books into Microsoft Outlook

An office that runs on Outlook has usually been told it is the second-class calendar: supported, eventually, with the interesting features arriving later or not at all.

MairyAI connects to Outlook the same way it connects to Google Calendar, and books the same way — real free time, approved times only, written while the caller is on the phone. Two things genuinely differ, and both are stated on this page rather than discovered later.

The booking

What happens on the call

The same shape as the Google Calendar connection, because an office on Outlook is not a lesser office.

01

Free time only, approved times only

Only the times you approved are ever offered, and only against real free time on the connected calendar. The caller hears two or three options, picks one, and the event is written while they are still on the phone.

02

The event says what the call was

The event carries the caller's name, their number and the reason for the call, so the diary is readable by whoever opens it rather than by whoever took the call.

03

A confirmation the caller keeps

The caller gets an emailed confirmation in your own wording, written once and sent every time.

The two differences

Where Outlook is not identical

Two places where Outlook behaves differently from Google Calendar. Neither stops the booking; both are worth knowing before you buy.

01

Disconnect does not revoke at Microsoft

Disconnecting in MairyAI removes our copy of the access token. It does not withdraw the consent your organisation gave Microsoft, which is revoked in Entra. We could have said 'disconnect' and left it there; this is the honest version.

02

Very large calendars are refused, not guessed at

A calendar carrying thousands of events inside the booking window is refused rather than read in part. A partial read would offer times that are not free, which is worse than reading nothing, so the connection says so instead.

The limits, stated

Where it stops

The things it does not do, said plainly.

01

CRM writes happen after the call

Nothing is written while the caller is on the line. Your Voice Agent finishes the conversation, and the update goes out afterwards, so a slow or unavailable system can never leave a caller listening to silence.

02

It is a calendar, not your mailbox

Mail is not touched. This connection is a calendar connection: your Voice Agent reads free time and writes events, and never reads, sends or files anything in a mailbox.

03

It will not invent a slot

It books into the rules you set and nothing outside them. A caller asking for a time you have not approved is offered what is available instead.

Common questions

The things worth knowing first

Do we have to move off Outlook?

No, and that is the point of this page. Outlook connects the same way Google Calendar does. An office that runs on Outlook does not have to move a calendar, change a habit, or keep a second diary in step with the first.

Is anything different from the Google Calendar connection?

Two things, and we would rather you heard them from us. Disconnecting removes our copy of the token but does not revoke consent at Microsoft — you do that in Entra. And a calendar with thousands of events inside the booking window is refused rather than read in part, because a partial read of a diary is worse than no read at all.

Does it book during the call?

Yes. It reads real free time on the connected Outlook calendar, offers only the times you approved, and writes the event while the caller is still on the phone.

Which Microsoft accounts work?

A work or school account on Microsoft 365 with a calendar your team keeps. The connection is an OAuth screen and a confirmation, and your administrator sees the consent like any other application.

How do we revoke access completely?

Disconnect in MairyAI to remove our copy of the token, then remove the application's consent in Entra. We say so plainly because an integration that implies it has removed access it cannot remove is the kind of claim that costs a security review.

Does the caller get a confirmation?

Yes, by email, in wording you write once. The appointment exists in Outlook and in the caller's inbox before the call ends.

What happens if the calendar cannot be reached?

The call carries on and the request is captured. The call record says what was agreed, and nobody is left on a line waiting for a calendar.

Will callers know they are talking to an AI?

Yes. Your Voice Agent states in the greeting of every call that the caller is speaking with an AI assistant and that the call is recorded. Callers stay on the line because the voice is natural and the answers are right, not because anyone is misled. The disclosure is part of our terms and is never switched off.
