Google Calendar

An AI receptionist that books straight into your Google Calendar

Most answering services hand you a message and leave the booking to somebody in the office. That is the step where appointments are lost: the message sits, the caller books elsewhere, and the slot that was free at nine is gone by eleven.

MairyAI books while the caller is still on the phone. It reads the real free time on the Google Calendar your team already keeps, offers only the times you approved, writes the event, and emails the caller a confirmation you wrote once.

How the booking happens

What happens while the caller is still on the line

Four things happen in the part of the call most services end with a promise to call back.

01

Free time only, approved times only

Only the times you approved are ever offered, and only against real free time on the connected calendar. The caller hears two or three options, picks one, and the event is written while they are still on the phone.

02

The event says what the call was

The event carries the caller's name, their number and what the call was about, so whoever opens the diary in the morning knows what the appointment is for without opening anything else.

03

Moving and cancelling

A caller who needs to move or cancel can do it on the phone. The calendar changes, the call record changes, and nobody has to reconcile the two later.

04

A confirmation the caller keeps

The confirmation email is written once, by you, and sent on every booking. Callers who have the time in writing turn up more often than callers who were told it.

Connecting it

What it takes to switch on

The whole setup is the same length as reading this section.

01

An OAuth screen, not an engineer

Connecting is an OAuth screen and a confirmation. No API key to paste, no file to upload, and no engineer. Disconnecting removes our copy of the token from the same screen.

02

You set what is bookable

You choose which calendar, and the booking rules on top of it: which hours are bookable, how much notice an appointment needs, and how long each kind of appointment runs.

03

You can see it is working

Connection status is on the page that made the connection. When something is wrong with it, that page says so rather than the first failed booking telling you.

The limits, stated

Where it stops

The things it does not do, in our own words, because finding them out later is worse.

01

CRM writes happen after the call

Nothing is written while the caller is on the line. Your Voice Agent finishes the conversation, and the update goes out afterwards, so a slow or unavailable system can never leave a caller listening to silence.

02

It books, it does not dispatch

Your Voice Agent books. It does not reschedule your technicians, reorder a route, or decide who takes a job — those are your dispatch decisions and it will not make them.

03

It will not invent a slot

It offers only what you approved. A caller asking for a time outside those rules is told what is available instead, not booked in and apologised to afterwards.

Common questions

The things worth knowing first

Does it book the appointment during the call, or send a request afterwards?

During the call. Your Voice Agent reads the real free time on the connected calendar, offers the times you approved, and writes the event while the caller is still on the line. The caller rings off knowing they have an appointment, not that somebody will be in touch.

Can it double-book us?

It offers free time only. A slot already taken on that calendar is never read out, and the booking rules you set decide what counts as bookable in the first place — which hours, which days, how much notice.

Can a caller change or cancel on the phone?

Yes. A caller can move or cancel an appointment during a call, and the change leaves the calendar as well as the call record, so the diary and the outcome never disagree.

Does the caller get a confirmation?

Yes, by email, in wording you write once and we send every time. You are not drafting a confirmation per booking and the caller is not relying on having remembered the time.

What does connecting actually involve?

Connecting is an OAuth screen and a confirmation. No API key to paste, no file to upload, and no engineer. Disconnecting removes our copy of the token from the same screen.

What if Google is down when a call comes in?

The call carries on. Booking is attempted during the conversation, and where the calendar cannot be reached your Voice Agent takes the request and the call record says exactly what was agreed. A calendar outage is never allowed to become a dead line.

Do we have to move to Google Calendar to use this?

No. Microsoft Outlook connects too, and a business that keeps neither can use the calendar built into MairyAI. The point is that your team keeps one diary, whichever one it already is.

Can we keep our existing phone number?

Yes. Forward the number your customers already know, or start on a new business number that we set up with you. Nothing about your existing phone system has to change.
