HubSpot

An AI receptionist that writes every call into HubSpot

A missed call leaves nothing behind. An answered call that nobody writes up leaves a little less than nothing: a teammate who half-remembers, a contact record that is a week out of date, and a customer who has to explain it again.

MairyAI writes the call into HubSpot for you. The contact is created or updated, the outcome is attached in plain English, and the next step is recorded — after the call has ended, so a slow CRM can never leave a caller waiting.

What reaches the record

What a HubSpot record holds after a MairyAI call

Three things, on every call, without anybody typing them.

01

The contact, matched not duplicated

The contact is created where it is new and updated where it is not, with the number the caller gave and the name they used.

02

The outcome, in words

A plain-English outcome of the call, written for a person to read rather than a transcript to be searched. What the caller wanted, what was agreed, and what happens next.

03

The next step

The next step, recorded against the record so the follow-up is somebody's job rather than somebody's memory.

When something goes wrong

What a failure looks like

An integration is judged on its worst day, not its best one.

01

Retried, or flagged at once

A write that can succeed later is retried. A write that cannot — a permission that was never granted, a field that does not exist — is flagged at once instead of being retried until somebody notices.

02

Your dashboard is the backstop

Nothing is lost either way. Every outcome is in your MairyAI dashboard whether or not HubSpot accepted it, so a broken connection costs you a sync and never a call.

03

The call never waits for the CRM

Nothing is written while the caller is on the line. Your Voice Agent finishes the conversation, and the update goes out afterwards, so a slow or unavailable system can never leave a caller listening to silence.

Connecting it

What it takes to switch on

Two screens, and no engineer.

01

An OAuth screen, not an engineer

Connecting is an OAuth screen and a confirmation. No API key to paste, no file to upload, and no engineer. Disconnecting removes our copy of the token from the same screen.

02

You can see it is working

Connection status and a clear activity record live on the page that made the connection, so you can tell it is working without waiting for the first thing that is not.

03

Separate access per customer

Each customer's access is their own. One workspace's connection cannot read or write another's, which is the part a buyer with a CRM full of customer data should ask about first.

Common questions

The things worth knowing first

What lands in HubSpot after a call?

The contact, created or updated, with a plain-English outcome of the call attached and the next step recorded against it. Your team opens a record that already knows what was said.

Does the write happen during the call?

Nothing is written while the caller is on the line. Your Voice Agent finishes the conversation, and the update goes out afterwards, so a slow or unavailable system can never leave a caller listening to silence.

Will it create a duplicate contact for every call?

No. Repeat callers are matched rather than re-created, and duplicate call and event updates are prevented by design. A customer who rings three times in a week is one record with three outcomes on it, not three records.

What if HubSpot rejects the write?

It is retried where retrying can help, and flagged at once where it cannot — a permission that was never granted does not get better by trying again. Either way nothing is lost: the outcome is in your dashboard whether HubSpot accepted it or not.

Can a HubSpot problem break a call?

No, and this is the single most important sentence on this page. A CRM issue is designed never to interrupt a live call. The conversation does not depend on HubSpot being reachable, because the conversation happens first and the write happens after.

What does connecting involve?

Connecting is an OAuth screen and a confirmation. No API key to paste, no file to upload, and no engineer. Disconnecting removes our copy of the token from the same screen.

Which HubSpot plan do we need?

The connection uses standard HubSpot scopes for contacts and activity. What a given HubSpot tier permits is HubSpot's to decide, and the connection page tells you if a scope you need was not granted rather than failing quietly later.

What does MairyAI cost?

MairyAI starts at $199 a month for Starter, with Premium at $499 and Pro at $1,499 by call volume. Setup is included, billing is month to month, and the free trial gives you 50 minutes of calls on a real business number with no card required.
